Responsibilities
- The Trust Assistant is responsible for providing reporting requirements to guardians/Trustees and maintaining case data/files for all guardianship/trust cases in Baltimore City Circuit Court.
- Other duties include monitoring timely filing of reports and providing administrative support for guardianship/trust cases, i.e., data entry, sending and receiving correspondence via email and courier delivery.
- Assist the public, attorneys and disabled persons advocate agencies, i.e., Department of Social Services, with obtaining general information regarding Circuit Court Standard Operating Procedures (SOPs) pertaining to guardianship and trust cases.
- Notifies guardians/trustees of report filing due dates via the Maryland Electronic Courts (MDEC) Audit/Tickle Reports, sends correspondence via email/mail and calls guardians/trustees when necessary.
- Answers telephones, screens, and routes calls, greets visitors, responds to inquiries from the public, and provides general information regarding the Circuit Court.
- Coordinates, reviews, process, and distributes all incoming and outgoing mail.
- Processes Fiduciary Accounting fee payments, sorts, processes, scans and files Orders of Court and other miscellaneous filings.
- Performs all other related duties as assigned.
- Establishes new guardianship/trust files, updates MDEC involved party information, creates and provides new appointees with new guardianship packages and sets up appointments for new guardianship consultations (if applicable).
- Investigates delinquent report filings, prepares, refers and processes Show Cause Orders for issuance.
- Handle employee and customer related conflicts tactfully and patiently.
- Follow directives as authenticated in the Order of Court or the pleadings filed with the Court.
- Review all correspondence and validate the suitability of the responses to be provided while ensuring conformity to the appropriate organizational policies, procedures, and meeting deadlines for priority actions.
- Apply job-related codes, policies, procedures, rules, regulations, and laws as required.
- Handle sensitive or difficult situations requiring discretion and confidentiality.
