Job Summary
The Institute for Public Health and Medicine (IPHAM) has created the Center for Dissemination and Implementation (CDIS) led by Dr. Sara Becker within the Feinberg School of Medicine. The central vision of the Center for Dissemination and Implementation is to bridge the gap between public health/medical knowledge (what we know) and public health/medical practice (what we do). D&I science is essential to realize the full impact of public health and medical research. Traditional, passive dissemination strategies such as publishing clinical recommendations, trials, or guidelines are insufficient for realizing practice change. Innovative, proactive strategies for increasing the implementation and sustainability of evidence-based interventions in community and clinical settings are essential for improving population health and driving health care innovation. CDIS is a key partner for NUCATS, the Clinical Translational Science Award at Northwestern, which is committed to advancing translational science methods across populations and settings.
The Center for Dissemination and Implementation Science is recruiting a Program Assistant 2 to administratively support the center. This position will report directly to the center’s Program Coordinator. The position will assist with a range of center activities including special projects, events, website maintenance, expense reports, etc. The preferred candidate will be a strong communicator who is organized, detail-oriented, and able to manage up.
This Program Assistant will provide a variety of clerical & administrative support which may include drafting & typing letters, reports, charts, graphs, etc. using word processing, spreadsheet, database, &/or presentation software; basic bookkeeping; screening calls & visitors; preparing agendas & making arrangements including travel, etc. for meetings & special events; &/or managing supervisor's &/or dept calendar.
Specific Responsibilities
Documents & Databases
Prepares manuscripts, scientific, technical &/or statistical documents.
Proofs for spelling & grammar.
Enters information into spreadsheets &/or databases.
Compiles routine reports, statistics, tables, charts, etc. from readily available information.
Website
Coordinates content maintenance of websites &/or blogs.
Accounting
Processes accounts payables &/or receivables.
Verifies income &/or expense.
Enters, tracks, & maintains documentation & logs of financial transactions.
Ensures that charges have posted to appropriate accounts.
Assists with reconciliation of accounts.
Investigates & resolves discrepancies.
Human Resources
Processes a limited variety of routine HR transactions.
Provides information on HR policies & procedures.
Coordination
Coordinates supervisor's &/or dept calendar.
Coordinates registration & travel.
Coordinates events which may include scheduling rooms &/or guest speaker & arranging for routine materials, technology & refreshments.
Contacts
Provides information via phone, e-mail, mail, etc.
Represents supervisor in routine/standard situations with various levels of personnel both internally & externally.
Miscellaneous
Performs other duties as assigned.
Minimum Qualifications: (Education, experience, and any other certifications or clearances)
A high school diploma or its equivalent along with 2 years of administrative support experience is required.
Minimum Competencies: (Skills, knowledge, and abilities.)
Intermediate knowledge of word processing, spreadsheet, email, and database software programs is required.
Strong organizational skills and the ability to multi-task
Detail-oriented
Strong initiative and follow through
Effective communicator to varied audiences such as students, staff, faculty, community partners, and public figures
Positive attitude and the ability to be a team player
Flexibility and the ability to adapt within a rapidly growing new center
Preferred Qualifications: (Education and experience)
Previous experience managing calendars in Outlook
Preferred Competencies: (Skills, knowledge, and abilities)
Preferred knowledge of or interest in public health or policy, healthcare, clinical research, and/or dissemination or implementation science
Target hiring range for this position will be between $18.42 - 23.02 per hour. Offered salary will be determined by the applicant’s education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
