Responsibilities
- Schedule appointments and input incoming clients coming in through the ER into EzyVet system.
- Assist in scheduling diagnostics for patients such as ultrasounds and surgeries when necessary.
- Understanding of basic triage concepts and when to forward phone calls to technicians or veterinarians appropriately.
- Answer telephones and handle calls quickly, efficiently, and in a professional and friendly manner, using a multi-line telephone system.
- Call for records on all incoming patients
- Help keep the reception area and exam rooms clean and tidy as well as properly stock supplies when needed.
- Access client information within the practice-management software system (EzyVet) and enter/retrieve client and patient data in the system as needed.
- Check clients and visitors in and out of the hospital.
- Accurately manage financial transactions such as taking payments
- Call to remind clients of their appointments and reschedule as necessary, send text/email reminders.
- Explain delays that affect clients and support comfort of clients and patients during their waits by offering water and/or coffee.
- Reschedule or accelerate appointments as needed.
- Willingness and ability to present and explain fees during checkout while discharging patients and processing payments.
- Support enforcement of policies regarding payments, credit, and pet health insurance.
- Assist with CareCredit, ScratchPay and All Pet Card applications and any additional payment platforms or funding applications implemented by the company.
- Outline costs and fees in a positive light while supporting hospital payment policies.
- Understanding and ability to use PayJunction
- Manage medical records, reports, and correspondence.
- Assist in keeping all invoices and audits up to date in real time and strive to have no outstanding/unknown issues older than 72hrs.
- Call clients with an outstanding balance to collect payment.
- Provide support to the Specialty Liaisons.
